M.S. & Ph.D. Admission Process (July 2021):

ALL CANDIDATES ASPIRING TO APPLY FOR PH.D. OR M.S. ADMISSIONS IN THE DEPARTMENT OF MECHANICAL ENGINEERING AT IIT MADRAS ARE REQUESTED TO CAREFULLY READ THE CONTENTS OF THE WEBSITE (HTTPS://RESEARCH.IITM.AC.IN/) AND THE ADMISSION BROCHURE (https://research.iitm.ac.in/brochure/2020/AdmissionBrochure.pdf) THOROUGHLY.

 

PLEASE READ THE FOLLOWING INFORMATION TO KNOW MORE ABOUT THE PROCESS THAT IS LIKELY TO BE FOLLOWED FOR THE JULY-2021 ADMISSIONS TO THE ME DEPARTMENT.

ADMISSION PROCESS

  1. All candidates who applied between December 1st, 2020 to April 30th, 2021 will be considered for JULY 2021 admission process.
  2.  

  3. The admission process involves the following steps:
    1. Shortlisting (Based on UG/PG and GATE scores)
    2. Online interviews of shortlisted candidates
    3. Recommendation for admission will be based on
      • Interview Performance
      • UG/PG/GATE Marks as may be applicable
    4. Candidates with more than 10 years after their qualifying degree will have to take an online test (in lieu of a written test)
  4. Final admissions is incumbent upon producing satisfactory certificates and other documents as the case may be, to the administration.

 
PROCESS DETAILS: FROM SHORTLISTING TO RECEIVING INTERVIEW CALL LETTERS

  1. Shortlisting will be done based on UG/PG/GATE scores
  2.  

  3. An EMAIL will be sent to shortlisted candidates asking them to appear for an online interview. The email address in the application will be used for this purpose. We are not responsible if you have provided improper email addresses or other information in the application form.
  4.  

  5. If you feel you should have been shortlisted but did not receive an email with the interview call letter, you should
    1. Immediately inform the department office. This should be done within 24hrs of the date specified (Interview call letter receiving date) and not later.
    2. You should inform the department office only by email Do not CALL the office or EMAIL the Head of the Department or anyone else for that matter.
    3. Make the subject of your email as -JULY2021-Admissions. In this way we can respond to you quickly and make any corrections as needed.

  7. In the interview call letter, a link to a google form will be provided requesting you to fill it up within a certain deadline. If you want to be considered for the interview, it is mandatory to fill this form (within the deadline). The reason for this step and what is generally asked in the form is listed below:
    1. The form will request the following information from you
      • Some details like your application number, names etc. Please fill the details pertaining to your application to the Department of Mechanical Engineering. If you filled in numbers pertaining to your application to other departments (even within IIT Madras), you will not be considered. We cannot reach out to you to correct your application numbers at this point.
      • Whether you will appear for the online interview? The interviews will be conducted online only. We follow a very specific/strict schedule for the interviews. We would hence need to know a priori, how many candidates are willing to attend the interviews. We cannot accommodate candidates who did not fill the google form and later request to be interviewed. This process is followed so as not to upset the schedule/procedures we have planned/put-forth.
      • Some information concerning the infrastructure you have at your end for attending the online interviews: Since the interviews will be held online, we would like to know your cell phone numbers, WhatsApp numbers and other infrastructure you possess, so that we can make the committee members aware as to how you will be attending the online interviews. We will also be able to communicate with you easily during the interviews in case there is some minor change.
    2. ONLY CANDIDATES WHO FILLED THE GOOGLE FORM PROVIDED IN THE INTERVIEW CALL LETTER AND INDICATED THAT THEY WILL APPEAR FOR THE ONLINE INTERVIEW, WILL BE CONSIDERED AND PROVIDED A DATE FOR THE INTERVIEW. THE LIST OF CANDIDATES WHO WILL BE INTERVIEWED ALONG WITH THE DATE WILL BE POSTED ON THE WEBSITE.

IMPORTANT: You are requested to periodically check the website of the department of mechanical engineering (https://mech.iitm.ac.in/meiitm/) for the following information.

  1. Shortlisting criteria: As we have been doing so far, the website will indicate the shortlisting criteria used.
  2. The list of candidates shortlisted for interview*: The list of candidates who have been shortlisted (based on UG/PG/GATE scores).
  3. Interview call letter receiving date*: When you can expect to receive (via email), the Interview Call Letter (if you have been shortlisted)
  4. Tentative dates for the interviews (Online): Exact dates will be sent via email at a later date.
  5. Final interview dates: Candidates who have been shortlisted and also filled the google form specifying that they will appear for the interview only will be listed along with the interview dates (See Point 4 above)
  6. Any changes to the procedure and dates

 

* IF YOU FEEL YOU SHOULD HAVE BEEN SHORTLISTED AND YOUR APPLICATION NUMBER DOES NOT APPEAR IN THE LIST OR YOU DID NOT RECEIVE THE INTERVIEW CALL LETTER BY THE MENTIONED DATE, PLEASE EMAIL () WITHIN 24 HRS OF THE INTERVIEW CALL LETTER RECEIVING DATE. PLEASE MAKE THE SUBJECT OF YOUR EMAIL AS (Application Number)-JULY2021-Admissions. PLEASE DO NOT EMAIL ANYONE ELSE OR CALL US.

INTERVIEW PROCESS:

  1. The interviews are an examination. The dates sent to you are final and cannot be changed for any reason. If there is a change in the schedule due to unforeseen circumstances, you will receive an email confirming the same from the department.
  2.  

  3. The interviews will be conducted online. If you want to attend the interviews,
    1. please ensure that you will have very good network connection, a good laptop/smartphone with microphone and camera facilities on the interview day. All these are essential for the interview.
    2. It is your responsibility to ensure that the committee members can see/hear you during the interview. If during the interview, the committee members were unable to interview you successfully due to poor infrastructure at your end, you will have to re-apply for the next round. You cannot be reconsidered again without another application.
  4.  

  5. You are requested to be available to take the interview anytime during that day. Providing a specific time is impossible due to various uncertainties associated with internet connections, power outages, availability of committee members etc. Therefore, make yourself available to attend the interview on the stipulated date.
  6.  

  7. Do not request for rescheduling the interview for alternative time on the scheduled day. Such requests will not be entertained and may amount to disqualification from this round of interviews and you may have to re-apply.
  8.  

  9. A few days before the actual interview, you will be contacted (Called on your Cell phone) by a volunteer for a mock-interview. This mock interview will be online with a meeting-link given to you by the volunteers. The mock interview will also be recorded.
    1. The mock interview is NOT a technical interview.
    2. The volunteer will basically check your infrastructure and provide you with useful information as to how you must attend the interview. She/he will give you a feedback if you are heard and seen clearly. They may also check whether what you write is clear or not and a few other things of similar nature. It is up to you to take the necessary steps to ensure that you use the feedback of the volunteers and improve (if necessary) the quality of the communication you will have with the committee on the day of the interview.
    3. Please be ready to take a call from the volunteer and be polite and courteous to them. They may not be able to repeatedly call you. If you did not attend the mock interview, the committee may not be prepared to interview you.
    4. The volunteer is not authorized to discuss date changes or report alternative time request (on the interview day) to the department. Hence, you are requested not to make any such conversation with them.

  11. On the interview day, a volunteer will call you and share the google meet link with you and ask you to join. A faculty member of the committee will admit you and begin the interview.

  13. The interview may be recorded (Either in full or a part of it) for archival and as a proof of attendance.
  14.  

  15. You will have to show (on camera) the following items to the Chairperson of the committee when she/he asks for it
    1. An identification (Preferably Aadhar)
    2. Your application form which has your photograph
  16.  

  17. You should have your camera ON at all times during the interviews (mock and actual interview). If there are bandwidth problems, the Chairperson may take a call and request you to switch OFF your camera during the interview and ask you to switch it back ON again if needed.
  18.  

  19. The committee may ask you to write and show the answer to some question. You should be ready with a WHITE PAPER and BLACK FELT pen. You should hold the paper up to show it on your camera for the committee members to see. So, you must be clear in your writing. Please have these ready for the interview.
